To put this guide in perspective, I will show you the exact steps you can follow to find targeted leads and build direct mail lists by ZIP code for an imaginary real estate agency based in Miami.
You must keep in mind, however, that this strategy works for any business in any location. Whether you’re a computer store owner, a digital marketer, or even an accountancy firm. As long as you’re looking to acquire new clients, the strategy and steps I'm about to show you below can help you generate a local mailing list by ZIP code.
So, let's dive in and unlock the secret that can take your business to the next level!
How to get a mailing list for a ZIP code
Step 1 to creating a marketing ZIP code mailing list: ZIP code search by city
If you are to build a mailing list by ZIP codes, then of course, the first thing you need is a list of the ZIP codes you wish to target.
If your goal is to target businesses in your vicinity, which means you only wish to build local mailing lists by ZIP code, and you know your ZIP code offhand, you can probably skip this step and move straight to step 2 below.
On the other hand, if you hope to reach customers in locations outside your neighborhood or you want to target a bunch of ZIP codes neighboring one another (as we will do in this guide), there’s a high chance you don’t know all those ZIP codes offhand. That’s why I’ve included this first step before anything else.
The first tool I’d like to introduce to you in this guide is known as the US City ZIP Code Lookup Tool. As its name suggests, it will help extract all the ZIP codes present in any US city you provide. The results from this tool will be the basis of the real estate local ZIP code mailing lists we want to build right now.
It’s important to note that this tool only works for cities in the United States of America. If you enter a state and any US city, it will quickly fetch its ZIP codes. But for any city outside the US, you’ll get nothing.
To gain access to this amazing tool and start building mailing address lists by ZIP code, you’ll need to first open a free Botster account:
Registration takes just a couple of minutes, and you don’t even need to provide your credit card details. Do make sure you verify your email address though.
Once that’s done, you can follow the steps below for the first step in creating your ZIP code mail list:
- Open the US City ZIP Code Lookup Tool’s page by clicking on “Start Bot”:
- Next, give this project a unique name and probably set a folder if you’ll be running more projects like this (mine is “Miami mail list ZIP code”):
- Next, enter the name of your target city. In our case, it’s Miami:
- Also enter the origin-state of the city:
- Now, set up notification options as you please:
- Finally, click on “Start this bot” to launch this mailing list ZIP code tool into action!
And that’s it! You’ve just completed the first step to conducting mass mailings by ZIP code to your ideal clients!
Upon launching the bot, the “My Jobs” page will open automatically, and you’ll see the bot running to gather the ZIP codes you requested. Within a minute, the bot will have gathered your results, and you should see something like this:
From here, you can choose to view the data online or download the results to your computer using one of the icons I boxed in the image above.

Results
Viewing the results from the US City ZIP Code Lookup Tool in Excel should look similar to this:
Now that you have the results, you can get mailing lists by ZIP code without stress with the help of the tools I’ll be showing you later in this guide.
Tips
- If you would like to extract ZIP codes for 2 or more cities, only enter cities from the same state. Otherwise, the project will fail. To extract ZIP codes for cities in different states, create different projects for them.
- Read this in-depth guide on logistics tools and techniques where this bot is used to extract the ZIP codes within Chicago.
Step 2 to building a local ZIP code mailing list: Companies search
Now that you have a list of your desired ZIP codes, the next thing is for you to find target clients within those areas that you can add to your mail lists by ZIP code.
This brings us to the second software I want to show you in this guide — the Google Maps Extractor.
The Google Maps Extractor is the best tool you can ever leverage to find companies and extract their contact information into an Excel file.
The best part is that it automates everything and you just have to sit and watch it gather your data. It’s also not one of those apps that takes ages to load your data. With the Google Maps Extractor, you can get a list of hundreds of companies within just two minutes!
Being able to find hundreds of potential buyers/clients within minutes is the dream of any business owner and that’s what I’m about to show you in this guide on how to build a marketing mailing list by ZIP code!
Follow the steps below to find companies using the Google Maps Extractor:
- Launch the Google Maps Extractor’s start page and name your job. (I’ll give this one “Mailing lists by ZIP code companies” and add it to the same folder as the previous project):
- Next, enter the keywords that describe your target market along with the ZIP codes you’re targeting. As an imaginary realtor, I want to target nightclub owners in multiple neighboring ZIP codes, so I’m adding those ZIP codes to the keyword “nightclub”:
- Next up is the number of companies you’d like to extract. With this tool, you can extract up to 200 companies in one go:
- Now, enter the city of your search. Mine is Miami:
- Now launch the bot and that’s it! Easy peasy!
And there goes the second step for how to get mailing list by ZIP code. Now, you just have to wait a minute for your results.

While your results load, you can quickly watch this short video for how to use the Google Maps Extractor:
Results
Viewing the results of your ZIP code mailing lists companies in Excel should give you something similar to this:
Now, you have everything you need to complete your address mail list by ZIP code database. Just one more step to go.
Tips
- If you used synonymic keywords to find the same type of business, you may have duplicate results, so I recommend you remove them first.
- Also, read my guide on direct mail marketing ideas for real estate where this bot is used for targeting businesses via paper mailing.
- Learn how the Google Maps Extractor can be helpful for finding new clients: I've described that in the real-life example of how to generate solar leads online using this and some other tools (the strategy described in that post is applicable to absolutely any product or industry, not necessarily to solar panels).
Step 3 to making an address mailing list by ZIP code: Companies’ addresses combined with ZIP codes
At this point, you have all the raw data you need for your business mailing lists by ZIP code, so what you need to do now is to add the ZIP codes extracted in Step 1 and the companies and their addresses extracted in Step 2 to a single table.
This is for you to be able to easily access the data and also track your mailing campaign and its results as time goes on. The columns you should have in this mailing list by ZIP code database include your search query (i.e. your ZIP codes), “Address”, “Title” (i.e. company name), and “Industry”:
I will recommend that you not only make direct mailing lists but also digital email lists as described in my comprehensive guide on building marketing email lists by ZIP code.
